The Onboarding Flow streamlines the process of bringing new users into your Compliance portal without immediately assigning them a full user account. This is especially useful for security officers or administrators who need to track new employees, collect necessary information from them, and transition them smoothly into the system.
With this flow, administrators can:
Add new individuals to the compliance system without immediately creating a full user profile.
Collect information from them via an onboarding email and registration portal.
Review and verify their data before finalizing their user account.
Transition the temporary contact into a full user profile when needed.
Enabling The Onboarding Flow
The Onboarding Flow setting can be toggled on from the Workflow editor:
Create a new workflow.
Ensure the Workflow is "Set To Admin Only"
Under the General section, click the Enable Onboarding Flow checkbox – This setting updates the UI to support onboarding workflows.
Using the Onboarding Flow
1. Create a Ticket
Instead of selecting an existing user as a subject, the ticket now presents a form to enter details for a new contact. Fill out the necessary details - first name, last name, and email.
The system will automatically create a contact user (Administrator > Contact User) associated with this ticket.
2. Send the Onboarding Email
Within the ticket, a Send Onboarding Email button will appear in the sidebar. Click this button to send an email to the new contact with a link to fill out an onboarding form.
3. The Contact Completes the Onboarding Form
The recipient will receive an email containing a View Form link to an online registration form asking for additional details (e.g., personal information, identification details).
Upon submission, the security officer receives a notification email.
4. Reviewing and Verifying Data
The security officer can open the original ticket and see a new section: Onboarding Form Data. This section contains all information submitted by the user.
If everything looks good, the administrator can mark the user as approved or go through any other steps that have been built into the flow.
5. Creating the Onboarded User
When an admin/security officer is ready to fully onboard the user, they can click the Create Onboarded User button in the top-right corner of the ticket.
A New User Form opens, pre-filled with the information from the onboarding form. The administrator can adjust any details and must create a company user email.
Click Save to create the new user account.
At this point:
The temporary contact user is removed, and a full user profile is created.
If welcome emails are set to be sent by default, the new user will receives their welcome email with login details.
The onboarding ticket is now linked to their user account.
